📄 How Invoices Work on Nas.io

Invoices are system-generated immediately when a payment is successful.

  • Zero Setup: You do not need to enable settings or install tools.

  • Trigger: If a payment succeeds, an invoice is created.

  • Exceptions: Failed or pending payments do not generate invoices.

For Business Owners (You)

You can download official PDF invoices for any sale.

Steps:

  1. Go to DashboardMoneyTransactions

  2. Click on any successful transaction line.

  3. Click Download Invoice. ✅ Best for: Your internal accounting or sending to members upon request.

For Your Members

Important: Members do not receive a downloadable PDF invoice automatically. They typically receive a billing history view only. Steps for Members:

  1. They go to SettingsMembershipsBilling History.

  2. They can see the date, amount, and product name.

💡 Management Tip: If a corporate client or member requests a PDF invoice for reimbursement, they must contact you. You will need to download it from your dashboard or generate an invoice from your business and email it to them manually.

Can I download PDF invoices in bulk? No. PDF invoices can currently only be downloaded one transaction at a time.

🧾 What Information Is Included? (And What Is Not)

Nas.io invoices are standardized receipts.

✅ Included Details:

  • Business Name (Your Community Name)

  • Product / Service Name

  • Amount Paid & Discounts (if applicable)

  • Transaction Date & Reference ID

❌ NOT Included / Customizable:

  • No Logos: You cannot add your custom business logo.

  • No Tax IDs: You cannot add your VAT, GST, or Business Registration Number.

  • No Address Editing: You cannot add a specific billing address footer.

Note: Invoices reflect the exact data at the moment of checkout and cannot be edited later.

🌍 Taxes, Compliance & Refund Handling

Is this a Tax Invoice?

Nas.io invoices are payment receipts, not guaranteed tax invoices. Because they lack customizable fields for Buyer/Seller Tax IDs, they may not meet strict B2B tax invoice requirements in countries with VAT or GST regimes (e.g., EU, UK, India).

  • Recommendation: If you require strict tax compliance invoices, we recommend using an external accounting tool to generate tax invoices.

What Happens During a Refund?

  • The Original Invoice: Remains unchanged in the system. Nas.io does not generate a "Credit Note" or modify the original PDF.

  • The Refund Record: The refund is recorded as a separate line item in your Transaction History as a negative value or reversal.

    A: No. Invoices are only created for successful captures of funds.

  5. Q: What happens if I change my Business Name? Do old invoices update?
    A: No. Old invoices retain the business name that was active at the time of the transaction. Only future invoices will show the new name.

    A:

  • Receipt (Proof of Payment): A simple confirmation that money was transferred. It is emailed automatically and is useful for personal record-keeping.

  • Invoice (Tax Document): A formal legal document that breaks down the specific taxes paid (GST). You generally only need this if you are a registered business claiming Input Tax Credit (ITC).

Tip: If you just need to track your spending, the Receipt is enough. If you are filing taxes for your company, you need the Invoice.
